PaperPort Deluxe 8.0 is A document organiser application that allows you to keep track of scanned documents without necessarily going through the process of optical character recognition (OCR) for each one.

That said, there are basic OCR facilities built in to PaperPort, but this isn't its main purpose. Rather, you scan any paper documents you receive, keep them as image files that can be viewed quickly and print them out if necessary. This means that you don't need to have the paper documents to hand and they can be put into storage.

PaperPort isn't a full document management solution, but ScanSoft isn't claiming it is. The software is for small businesses with large amounts of paper documents that need to be managed. It's an electronic filing cabinet program that allows scanned documents to be organised the way you'd do with hard copies.

Any folder you have access to can be used as a PaperPort folder, including those on your local hard disk drive or network. PaperPort will generate thumbnails for each document in the folders, whether they're image files or documents from applications, such as Excel or Word. PaperPort itself uses a Windows Explorer-like interface with the folder tree on the left of the screen.

A toolbar along the bottom of the PaperPort window has a number of icons for various applications. Dragging a document from a PaperPort folder to one of these icons will send it to that particular application, performing any necessary conversions along the way.

A number of applications are preconfigured, but you can add your own. PaperPort can also convert documents into its own image format, which allows you to add annotations and highlightings.

PaperPort's search facility, SimpleSearch, uses a combination of OCR and full-text indexing so you can find specific documents. PaperPort enables you to search scanned documents and those already in electronic format.

It can update its index automatically when you add new documents or you can configure it to wait until your PC is idle before doing so. You can even manually update the index if you need immediate access to new documents.

The software integrates with a new web-based document store, called PaperPort Online. This is similar to many of the online document sharing services available, but the integration allows you to upload documents to the service directly from PaperPort to an online folder. One year's subscription is included. After that, subscription costs $60 per annum.

PaperPort is easy to use and suits those who don't need vast amounts of document management features, but who still need to be able to find particular documents quickly.
